1. Introduction
Triden AI LLC is a limited liability company organized under the laws of the State of Wisconsin. Our services include AI voice agents that answer phone calls on behalf of Clients, operational and marketing SMS messaging, AI-assisted appointment booking, CRM, review management, and related business operations tools.
Because our platform handles communications between Clients and their callers, this Privacy Policy is written for two primary audiences:
Clients — businesses that subscribe to Triden AI services. Information about Clients is collected and used directly by Triden AI to provide the platform.
End Users — individuals who call a Client's phone number answered by our AI voice agent, or who receive an SMS sent through our platform by a Client. Information about End Users is generally processed by Triden AI on behalf of the Client.
The distinction matters for your privacy rights, as explained in Section 2.
2. Our Role: Service Provider, Processor, and Controller
2.1 For Client Data, We Are the Controller
When a Client signs up for our services, Triden AI acts as the "business," "controller," or equivalent under applicable U.S. state privacy laws. We determine the purposes and means of processing Client account data, billing data, usage data, and similar information used to provide and improve the platform.
2.2 For End User Data, We Are a Service Provider / Processor
When Triden AI handles a call, sends an SMS, or stores customer records on behalf of a Client, we act as a "service provider" under the California Consumer Privacy Act (CCPA / CPRA) and a "processor" under the Virginia Consumer Data Protection Act (VCDPA), Colorado Privacy Act (CPA), Connecticut Data Privacy Act (CTDPA), Utah Consumer Privacy Act (UCPA), Texas Data Privacy and Security Act (TDPSA), and equivalent state laws. In this role:
The Client is the controller of End User data. The Client is responsible for the legal basis for collection, for providing required notices to End Users, and for honoring End User privacy rights;
Triden AI processes End User data only as instructed by the Client and as necessary to provide the contracted services;
Triden AI does not sell End User data, share it for cross-context behavioral advertising, or use it for our own marketing;
Triden AI does not use End User data to build profiles independent of the Client relationship.
If you are an End User and wish to exercise privacy rights regarding the call, SMS, or customer record handled through Triden AI's platform, please contact the business (Client) you interacted with. Triden AI will assist that Client in honoring your request to the extent required by law.
3. Information We Collect
3.1 Information We Collect From Clients
When a Client signs up for and uses our services, we collect:
Business name, business address, business phone number, business email
Owner or authorized representative name and contact details
Business EIN or Tax ID (used for SMS carrier registration only)
Login credentials and account preferences
Payment and billing information (processed and stored by Stripe, our payment processor — see Section 5)
Business configuration data (services offered, hours, pricing, AI agent prompts, calendar settings)
Customer contact lists imported via CSV or other bulk upload
Usage data (call volume, SMS volume, Unit consumption, dashboard activity, feature usage)
Communications between you and Triden AI support
3.2 Information We Collect From End Users (on Behalf of Clients)
When an End User calls a phone number answered by our AI voice agent or receives an SMS sent through our platform, we may collect, process, or store:
Phone number
Name (if provided by the End User during the call or SMS exchange)
Email address (if provided)
Vehicle, equipment, property, or service information (as applicable to the Client's business)
Appointment and service request details
Call recordings, transcripts, and AI-generated call summaries
SMS message content related to operational or (where applicable) marketing communications
Caller ID and call metadata (date, time, duration, routing)
All such information is processed by Triden AI as a service provider on behalf of the Client, as described in Section 2.
3.3 Information Collected Automatically From Website Visitors
When you visit tridenai.com or interact with embedded widgets (such as our chat or contact form, including the GoHighLevel chat widget where present), we and our service providers may automatically collect:
IP address and approximate geolocation
Browser type, operating system, and device identifiers
Pages viewed, referring URL, links clicked, and time spent
Date and time of visit
Cookies and similar technologies (see Section 7)
3.4 Information We Receive From Third Parties
We may receive information about Clients from third parties, including payment processors confirming subscription activity, telephony and messaging providers reporting usage, and identity verification providers used during A2P 10DLC brand and campaign registration.
4. How We Use Information
We use the information described in Section 3 for the following purposes:
To provide the Service: answer calls, send and receive SMS, book appointments, deliver call summaries, generate transcripts, process CRM records, and operate review request funnels;
To bill and collect payment: charge subscription fees, Setup Fees, add-on fees, and Unit/voice/SMS overage charges;
To register and maintain carrier compliance: complete A2P 10DLC brand and campaign registration with The Campaign Registry and wireless carriers, including marketing campaign registration for Business Suite clients where applicable;
To support, troubleshoot, and improve the platform: including AI prompt refinement and quality assurance review of recordings and transcripts;
To detect, prevent, and address fraud, security, or technical issues;
To communicate with Clients regarding service updates, billing, support, and policy changes;
To comply with legal obligations, court orders, or governmental requests;
To enforce our Terms of Service and other agreements;
To create aggregated and de-identified data as described in Section 11.
We do not use End User data for any purpose other than providing the contracted Service to the Client, except as required by law.
We do not sell personal information. We do not share End User data for cross-context behavioral advertising.
We share information only in the following circumstances:
5.1 With the Client (for End User Data)
End User data captured by Triden AI on behalf of a Client (call recordings, transcripts, contact information, appointment details, SMS history) is made available to that Client through the Service. The Client is responsible for handling that data in accordance with its own privacy policy and applicable law.
5.2 With Subprocessors
We rely on the following categories of subprocessors to deliver the Service. Each is bound by contract to handle information consistent with this Privacy Policy and applicable law:
Vapi — AI voice agent infrastructure
Twilio — telephony, SMS messaging, A2P 10DLC carrier registration, and phone-number provisioning
GoHighLevel (HighLevel) — CRM, calendar, SMS, and operational workflow infrastructure (replaces our prior reliance on Google Calendar for most appointment booking)
n8n — workflow automation
Stripe — payment processing and storage of payment card data; Triden AI does not store full payment card numbers
Google (Workspace / Gmail) — limited use for email notifications and select integrations
JotForm — onboarding forms and intake
Framer — website hosting and basic analytics
Large language model providers used by Vapi or directly by Triden AI for AI voice and summary generation
We may add, remove, or replace subprocessors at our discretion. A current list is available on request to support@tridenai.com.
5.3 For Legal and Safety Reasons
We may disclose information when required to comply with a subpoena, court order, governmental request, or applicable law; to protect the rights, property, or safety of Triden AI, our Clients, End Users, or others; or to prevent or investigate fraud, security incidents, or technical issues.
5.4 In Connection With a Business Transfer
If Triden AI is involved in a merger, acquisition, financing, reorganization, bankruptcy, or sale of assets, information may be transferred as part of that transaction. Successors will be bound by this Privacy Policy or a successor policy that is materially equivalent.
6. SMS Communications, TCPA Compliance & Tier-Specific Scope
6.1 Tier-Specific SMS Scope
SMS functionality depends on the Client's subscription plan:
Essential plan: SMS is platform-to-owner only. Messages are sent from Triden AI to the Client (account holder) for call summaries, missed-call alerts, and system notifications. End Users do not receive SMS from us on this plan.
Pro plan: Operational SMS only. End Users may receive transactional SMS from us on behalf of the Client (appointment confirmations, reminders, callback responses, missed-call follow-ups, post-service review requests). Marketing and promotional SMS are not supported on this plan.
Business Suite plan: Operational SMS plus Marketing SMS. End Users may receive both transactional and (where they have opted in) marketing communications from us on behalf of the Client. Marketing SMS is sent only under a separate A2P 10DLC marketing campaign registration with documented opt-in.
6.2 Consent and TCPA
By providing your phone number to a business that uses Triden AI, you consent to receive text messages related to your service inquiry or appointment, including:
Appointment confirmations
Appointment reminders
Service updates, callback responses, and follow-ups
Post-service review requests
For Business Suite Clients only, marketing communications you have separately opted in to receive
Message frequency varies based on your service activity. Message and data rates may apply depending on your mobile carrier plan.
To opt out: Reply STOP to any message at any time. You will receive one final confirmation and no further messages will be sent.
For help: Reply HELP or contact the business directly.
Clients using Triden AI are required by our Terms of Service to obtain and document consent before any SMS is sent and to comply with the Telephone Consumer Protection Act (TCPA), the CAN-SPAM Act, A2P 10DLC carrier rules, and applicable state law.
6.3 Twilio A2P Compliance Notice
No mobile opt-in data or consent information will be shared with third parties or affiliates for marketing or promotional purposes. All categories exclude text messaging originator opt-in data and consent — this information will not be shared with any third parties.
7. Cookies and Tracking Technologies
Our website uses cookies and similar technologies to provide and improve our services. The categories include:
Strictly necessary cookies — required for the website to function (for example, session cookies, security cookies, and cookies set by Framer for site delivery);
Functional cookies — remember preferences and improve usability;
Analytics cookies — help us understand how visitors use the website, including basic Framer analytics;
Embedded widgets — third-party widgets embedded on our site, including the GoHighLevel chat widget where present, may set their own cookies under their providers' privacy policies.
We do not currently use cookies to deliver third-party advertising or cross-context behavioral advertising. You can control cookies through your browser settings, including blocking or deleting them, although some features of our website may not function correctly if you do.
8. Data Retention and Deletion
We retain Client and End User information for as long as the Client account is active and for a limited period thereafter, as follows:
Active accounts: retained as needed to provide the Service;
Following cancellation or termination: Client data, call recordings, transcripts, and End User records are retained for 14 days to allow export, after which all such data is permanently deleted from Triden AI systems;
Backups and audit logs: some information may remain in backup or audit logs for a reasonable period for legal, security, and operational purposes;
Aggregated and de-identified data: may be retained indefinitely as described in Section 11;
Information held by subprocessors (such as Twilio call records, GoHighLevel conversation history, or Stripe payment records) is governed by those providers' retention policies.
Clients may request earlier deletion of their data by contacting support@tridenai.com. End Users seeking deletion of data captured during a call or SMS should contact the business they interacted with, which controls that data.
9. Data Security
We implement commercially reasonable administrative, technical, and physical safeguards designed to protect information from unauthorized access, loss, alteration, or disclosure. These include access controls, encryption in transit, vendor due diligence, and least-privilege access principles.
No system is completely secure. We cannot guarantee absolute security, and Clients are responsible for safeguarding their own account credentials and devices. If we become aware of a security incident affecting your personal information, we will notify affected parties as required by applicable law.
10. Information We Do Not Collect
Triden AI's platform is not designed to collect, store, or process the following categories of information. Clients agree not to provide them through the Service:
Full payment card numbers, CVV, or other PCI-DSS-regulated data (payment card data is handled exclusively by Stripe);
Full Social Security numbers, driver's license numbers, or government identification numbers;
Protected health information (PHI) subject to HIPAA;
Financial account credentials or passwords;
Other sensitive personal information that would subject Triden AI to a regulatory regime (PCI-DSS, HIPAA, GLBA, etc.) not addressed in this Policy or our Terms of Service.
If you believe such information has been inadvertently submitted to Triden AI, please contact support@tridenai.com immediately so we can remove it.
11. Aggregated and De-Identified Data
We may create aggregated, anonymized, and de-identified data from information processed through the Service. This data does not identify any specific individual or business and is used to operate, secure, benchmark, and improve the Service, train and refine AI models for our own use, and develop new features. Aggregated and de-identified data is not subject to this Privacy Policy and may be retained and used indefinitely.
12. Your Privacy Rights
Depending on where you live, you may have certain rights regarding the personal information we (or, for End User data, the Client) hold about you. These typically include:
The right to know what categories of personal information are collected and how they are used and shared;
The right to access a copy of your personal information;
The right to correct inaccurate information;
The right to request deletion of your information, subject to legal exceptions;
The right to opt out of the sale or sharing of personal information (we do not sell or share personal information for cross-context behavioral advertising);
The right to opt out of targeted advertising (we do not engage in targeted advertising);
The right to non-discrimination for exercising your rights;
The right to appeal a denied request, where applicable.
To exercise these rights:
Clients should contact support@tridenai.com from the email on file.
End Users should contact the business they interacted with, which controls the relevant data. Triden AI will assist that Client in honoring verified requests as required by law.
We will respond to verified requests within the time period required by applicable law (typically 45 days, extendable once where permitted).
13. California Privacy Rights (CCPA / CPRA)
If you are a California resident, you have rights under the California Consumer Privacy Act and California Privacy Rights Act, including:
Right to know — request disclosure of the categories and specific pieces of personal information we have collected about you, the sources, the purposes for collection, and the categories of third parties with whom it is shared;
Right to delete — request deletion of personal information we have collected, subject to exceptions;
Right to correct — request correction of inaccurate personal information;
Right to opt out of sale/sharing — we do not sell personal information and do not share it for cross-context behavioral advertising;
Right to limit use of sensitive personal information — we do not use sensitive personal information for purposes beyond those permitted under the CCPA;
Right to non-discrimination for exercising any of the above rights.
Categories of personal information we collect (as defined under the CCPA): identifiers (name, phone, email), commercial information (purchase history, subscription data), internet/electronic activity (website usage), audio information (call recordings), professional/employment information (business owner role), and inferences drawn from the above (limited).
We retain the right, as a service provider, to refuse a request that conflicts with our obligations to a Client. End Users seeking to exercise California rights regarding call, SMS, or customer record data should contact the business they interacted with.
Submitting a request: Email support@tridenai.com with "California Privacy Request" in the subject line. We will respond within 45 days.
You may also designate an authorized agent to act on your behalf, subject to verification.
Shine the Light: California residents may also request information about disclosures of personal information to third parties for direct marketing purposes. We do not disclose personal information for third-party direct marketing.
14. Other U.S. State Privacy Rights (Texas, Virginia, Colorado, Connecticut, Utah & Others)
If you are a resident of Texas, Virginia, Colorado, Connecticut, Utah, or another U.S. state with a comprehensive privacy law in effect (including Oregon, Montana, Iowa, Delaware, New Hampshire, New Jersey, Maryland, Minnesota, Rhode Island, and others as they become effective), you may have rights similar to those described in Section 12, including:
The right to confirm whether we are processing your personal information;
The right to access and obtain a copy of your personal information;
The right to correct inaccurate personal information;
The right to request deletion of your personal information;
The right to opt out of the sale of personal information, targeted advertising, and certain profiling — Triden AI does not engage in these activities;
The right to appeal a denied privacy request.
The specific rights, response timelines, and exemptions vary by state. We will respond to verified requests in accordance with the law of your state of residence.
Texas residents (TDPSA): The Texas Data Privacy and Security Act took effect on July 1, 2024. Triden AI is committed to honoring Texas residents' rights under the TDPSA, including the right to know, access, correct, delete, and appeal. Submit requests to support@tridenai.com with "Texas Privacy Request" in the subject line.
Submitting a request: Email support@tridenai.com with your state and the nature of your request in the subject line. End Users should contact the business they interacted with for requests involving call, SMS, or customer record data.
15. Do Not Track Signals
Some browsers offer a "Do Not Track" (DNT) signal. Because there is no industry-wide standard for how DNT signals should be honored, our website does not currently respond to DNT signals. We do not engage in cross-context behavioral advertising regardless of whether a DNT signal is sent.
16. Children's Privacy
The Service is intended for use by businesses and adults. It is not directed at children under the age of 13, and we do not knowingly collect personal information from children under 13. If we become aware that we have collected personal information from a child under 13 without verified parental consent, we will delete that information promptly. If you believe a child has provided us with personal information, contact support@tridenai.com.
17. International Users
Triden AI is based in the United States, and our infrastructure and subprocessors operate primarily in the United States. The Service is intended for use by businesses operating in the United States. If you access the Service from outside the United States, you understand that your information will be transferred to, stored, and processed in the United States, which may have different data protection laws than your country of residence.
We do not currently offer services to individuals or businesses in the European Economic Area, the United Kingdom, or other jurisdictions with comprehensive cross-border data transfer requirements, and we do not make representations regarding compliance with those frameworks.
18. Changes to This Policy
We may update this Privacy Policy from time to time. If we make material changes, we will provide notice by email to Clients at the address on the account or by posting an updated version on our website with a new "Last Updated" date, at least 30 days before the changes take effect (except where a shorter period is required by law). Continued use of the Service after the effective date constitutes acceptance of the updated Policy.
